REGISTRATION POLICIES & WAIVERS


Registration Eligibility
AAFPRS Foundation meetings and educational activities are intended for–and only open to–surgeons, advanced practice providers, office staff and healthcare industry professionals who specialize (and work in an official capacity) in Facial Plastic and Reconstructive Surgery, Aesthetic and Cosmetic Medicine, Dermatology, Maxillofacial Surgery, Oculoplastic Surgery, Otolaryngology-Head and Neck Surgery, and Plastic Surgery. You must meet these requirements to register and participate in this event. By registering, you agree that the opportunity to attend is a privilege granted at the sole discretion of AAFPRS Foundation and that this privilege may be denied or revoked by AAFPRS Foundation at any time, for any or no reason, without any recourse other than, as described herein, a refund of your registration fee.

  • Registrations will be reviewed to ensure they meet our eligibility criteria; your registration is considered pending until eligibility has been confirmed.

  • By registering, you agree that, the AAFPRS Foundation reserves the right to deny registration/admission, cancel ineligible registrations, revoke reservations, and/or to remove any person or company from its meetings/events at any time and for any or no reason in its sole discretion. By registering, the registrant agrees that the AAFPRS Foundation shall not be held accountable for any outside fees (hotel, travel, etc.) or any other expenses or damages associated with any such cancellation, and that your sole, exclusive remedy shall be a refund of any registration fees actually paid to and received by the AAFPRS Foundation. You agree that if your registration is revoked for cause (including, without limitation, for disruptive, disrespectful, political, fraudulent, or illegal conduct or any breach of the AAFPRS Foundation’s Code of Conduct/Anti-Harassment Policy), you shall not be entitled to and shall forfeit any refund of registration fees or recovery of any other monetary amounts from the AAFPRS Foundation, and that in addition to any other remedy available to the AAFPRS Foundation you may be forever barred from AAFPRS Foundation activities.

  • To ensure maximum benefit and a positive experience for all attendees, conference participants must read and adhere to AAFPRS’ Code of Conduct/Anti-Harassment Policy. 

  • By completing the registration form on behalf of another individual you represent and warrant that you have made the participant aware of AAFPRS Foundation’s Code of Conduct/Anti-Harassment Policy, and all other registration-related policies; that the individual understands and has accepted these terms and conditions for participation in the meeting; and that you shall be responsible to, and shall indemnify to the fullest extent allowed by law, the AAFPRS Foundation for the conduct of any individual for whom you register.
 

  A few registration-related policies are listed below. However, as a participant in this event you to agree to adhere to ALL AAFPRS Policies, Rules and Waivers, which should be viewed here.

Non-Exhibiting Industry Representative Registration
This category is intended to give non-exhibiting company representatives an opportunity to experience an AAFPRS Foundation meeting and to participate in the educational and professional networking aspects of the event, without actively soliciting business or promoting products or services.

To preserve the integrity of the meeting and protect the investment of our exhibitors and sponsors, the following code of conduct applies:

  • Non-exhibiting company representatives may not engage in any form of business solicitation or promotion of products or services during the meeting. This includes activity within the Exhibit Hall, meeting spaces controlled by AAFPRS Foundation, and throughout the hotel or venue.

  • Distribution of marketing materials, promotional items, or engaging in sales is strictly prohibited in all meeting spaces, including the Exhibit Hall, educational sessions, and public/common areas of the hotel controlled by AAFPRS Foundation.

  • Any behavior that could be perceived as commercial promotion, selling, or solicitation is prohibited.

Violations of this policy may result in removal from the event and restrictions or exclusion on future attendance.

Accessibility/ADA Compliance 
If you require special assistance, auxiliary aids, or other reasonable accommodations to fully participate in this event, please indicate those needs during the registration process. Any information regarding your request will remain confidential. 

Photography/Filming Release 
AAFPRS has secured a Photographer/Videographer to take photos, document and capture official conference events and activities, including, but not limited to, educational sessions, networking breaks and receptions and the Exhibit Hall. These photos are for AAFPRS use only and may appear on the Academy’s website or in newsletters, conference brochures, social media outlets, and/or other promotional materials. 
 
By registering and attending this event, you understand and agree that your image, likeness, name, voice and/or words may be captured in photographs or recordings taken during the meeting and grant AAFPRS unrestricted permission to use, publish, display, reproduce, copy and distribute such image, likeness, name, voice and/or words in AAFPRS-related publications, including social media and the website. Please note that such photos/recordings will not include actual content, slides or video contained within speaker presentations. 
 
No-Recording or Photography | Patient Privacy 
  • To protect confidential, proprietary, personal information, images and/or private discussions, taking unauthorized photos/videos or recording lectures, presentation slides, exhibit booths, and/or conversations between attendees, speakers, exhibitors, is prohibited.
  • Unauthorized Recording or Broadcasting Prohibited: Unauthorized photography, image capture, or recording a person without their permission. Photography, screenshots, audio or video recording, livestreaming, or any other form of capture or distribution of content from AAFPRS Foundation meetings, webinars, or related events—whether held in person or virtually—is strictly prohibited, without prior written consent from the AAFPRS Foundation.
  • Other than personal photos or selfies, filming, photography, screen grabs or video capture of any portion of this event, including images of other participants, patient photos, surgical videos, presentation slides and/or written content is strictly forbidden.
  • Furthermore, by registering for this event, participants agree to hold in strictest confidence any protected health information that may be revealed. 

 

Cancellation & Refund Policy
All cancellations must be made in writing to education@aafprs.org. Telephone cancellations are not accepted.

  • Participants acknowledge that the refund policy set forth below (as applicable) is the sole remedy in respect to an attendee’s registration cancellation.

  • Canceling your registration does not automatically cancel your hotel reservation. To cancel your hotel reservation, please contact the hotel directly.

  • A refund equal to 75% of the total registration fees paid will be issued for cancellations received on or before June 30, 2026.

  • A refund equal to 50% of the total registration fees paid will be issued for cancellations received between July 1 and August 31, 2026.

  • Refunds will not be granted after August 31, 2026. “No-shows” and cancellations on or after September 1, 2026, are responsible for the full registration fee.


Check-In & Badge Pick-Up
Upon arrival, please stop by the Registration Desk to receive your name badge and other meeting materials. If you have a question, concern, or need assistance during the meeting, please stop by registration. AAFPRS staff is available to help you locate sessions and answer any questions you may have.

Name Badge Policy
Admission to this meeting is only granted to registered attendees. For security reasons, name badges must be worn to all AAFPRS Foundation events including, but not limited to, education sessions, hands-on labs, workshops, social/networking events, and the Exhibit Hall. When in the meeting space, please wear your badge so that it is visible at all times. 

False certification of individuals as paid AAFPRS Foundation meeting attendees, sharing or misuse of name badges, login credentials, presentation links, or any method of assisting unauthorized persons to gain access to any AAFPRS Foundation event is strictly prohibited and is just cause for the AAFPRS Foundation to revoke badges and/or access to the meeting for any individuals involved, with no obligation to refund registration fees paid.

Lost badges should be reported to the Registration staff. For safety reasons, please remove your badge when you are outside of AAFPRS Foundation’s meeting and facilities or when venturing out into the local area. 

Name badges are and remain the property of AAFPRS Foundation and must be returned to AAFPRS Foundation upon request. Attendees also shall return their name badge to AAFPRS Foundation upon any breach of the AAFPRS Foundation’s Code of Conduct/Anti-Harassment Policy.

Badge Scanning
Your name badge has a QR code that contains your contact information, including your email address. You may present your badge to be scanned by exhibitors so that they may provide you with information on their products or services. By giving an exhibitor your badge to scan you are giving them consent to contact you. It is your decision whether to present your badge for scanning. Once you have shared your information with an exhibitor, its use will be governed by that company’s privacy policies.
 

PRIVACY POLICY: ACCESS TO YOUR INFORMATION


Your privacy is important to us. Our Privacy Policy can be found on our website, and describes what information we collect, how it is used, how you can control the use of your data and certain other matters. Please contact us at info@aafprs.org with any questions or concerns about our Privacy Policy or about any communications you receive from us.

The AAFPRS Foundation shares data with third-party vendors to process registrations, provide access to the mobile app, print badges, etc. This may include, but is not limited to, your name, job title, email, and AAFPRS record number. By registering for this event, you consent to such sharing of information between AAFPRS or the AAFPRS Foundation and its third-party vendors.

To support event planning and provide attendees with negotiated room rates, the AAFPRS Foundation and its official conference hotel(s) will also provide one another with access to basic attendee/guest information. This includes attendee names and emails, and reservation details such as confirmation numbers and the number of room nights booked. This information exchange is solely for operational purposes related to the event. By registering for this event, you consent to such sharing of information between AAFPRS or the AAFPRS Foundation and the designated hotel(s).

We will not sell or lease a conference participants personal data to a third-party company; however, there are certain circumstances where we may share your personal data without additional notice to you.
